Some receipts do not contain much information to say – like those from small gift shops or gas stations. They generally include a date, the amount and the form of payment. And worse yet, most receipts are printed on thermal paper, causing the information to disappear just when you need it.
Instead of keeping a stack of tiny papers that are barely readable, why not move your receipt collection to the cloud? To do that, here are some mobile applications that can be used to digitize your receipts. These will help you clean up the clutter and make sure you can find the information you need, when you need it.
A reliable and handy resource is Google Drive, making it a good tool for storing the information you need to access later. To start your receipt register, you have to open Google Drive, select the folder in which you want to store your receipts, click on the plus icon (+) and then click on Scan.
If this is your first time, you must give Drive permission to take photos and videos. Then take the photo, re-select the plus sign to add more pages, or click the popcorn to upload your document to Drive.
In addition, you can grant viewing access from other users of the Google account. Now if you want more security for your receipts, take a look at the following application.
Tip: If you opt for Google Drive, you can add a shortcut from your home screen. Just press and hold the app to display the widgets. Then you will have to drag the widget scan to your screen and voila.
If what you are looking for is a specific application to save your receipts and have better control of your finances, Expensify is a great option. With this app you can have your receipts in one place and doing it is very simple. Even if you are not preparing for tax season it is a great option to keep track of your expenses.
The interesting thing about this application is that everything is automatic, so the app will keep accounts for you, thanks to the fact that it is able to read the receipt and create the expense automatically; You can see where and when you made the expense, as well as the amount of it.
Receipts by Wave for Business
Although its name indicates that it is an application designed for business, the truth is that it is quite useful for ordinary people to put order with our receipts. Like Expensify, Wave allows you to take a picture of your receipts and the app will process the information automatically. The difference is that Wave allows you to categorize your expenses, add taxes and notes.
So if you want to be much more specific with your expenses and you also have a business, Wave could be the ideal app for you. On the other hand, Expensify offers better reports and if you travel frequently for business it can be an app that best suits your needs. In the end, we recommend you try both and then make a decision.
Now, if you prefer to adapt applications that you use for other purposes, Evernote is a good option since it allows you a greater organization than Google Drive or Dropbox. What is the difference? That Evernote can classify and subcategorize receipts with notes and labels. Plus, you can add notes to go along with your receipts, allowing you to keep more details about each purchase.
To scan your receipts, open Evernote, and then tap the camera icon. Make sure you have selected Document Camera on the left hand menu. If you are already creating a note, you can add photos from the document camera through the plus sign menu. When you have finished scanning all the receipts, press the popcorn icon.
Once you have the receipt image, you just have to save it, add it to a notebook (Notebook), add tags, or even attach a location. Unless you’re an Evernote Premium user, you won’t be able to search the text within the image, so be sure to add enough information to find your receipts later.
You probably think of Dropbox as a place to back up your documents, but it’s also a great service for backing up images of your receipts and accessing them from your computer or tablet.
First, you’ll need to head to the Settings menu, and then tap Require passkey. From there you can configure the custom four-digit PIN. Next, create a folder dedicated to storing receipts. You can add a folder through the mobile application, your desktop PC or on the web. Now is the time to take photos of your receipts with the camera of your mobile device.
When you’re done, head over to the photo gallery and share all the receipt images to the Dropbox folder where you want to store them.
Dropbox doesn’t allow you to annotate every receipt you upload, but it’s a ridiculously quick way to get them off your desktop and into the cloud. If you want the file name to reflect what the receipt is, that’s easy to adjust in the Dropbox app or on the web. If you need extensive organization of receipts, then you may want to try the following application.
